Replaces A shared inbox Spreadsheets HubSpot ITFlow Hand-keyed invoices
Why Opentra

Every client request follows a path.

From first email… to final invoice.

Opentra is the one system that path runs on — so nothing leaks, nothing gets re-keyed, and every request ends where it should: billed.

01 / The problem

Small MSPs get stuck gluing tools together, or hand-keying invoices.

OPTION A

Spreadsheets and a shared inbox

HubSpot for CRM, a spreadsheet for time, a shared inbox for tickets. Nothing talks, you are the integration layer, and month-end is a re-keying marathon.

OPTION B

A free tool that stops at the invoice

Open-source PSAs like ITFlow document and ticket well, then leave you to hand-key every invoice into your accounting. The billing side is always the part added last.

THE FIX

Opentra

One platform built the way a small MSP actually works, from inbound email to ticket to time entry to a Xero invoice. And you own every byte.

02 / The workflow

From inbound email to paid invoice — one connected line.

1

Email in

MS Graph ingests mail and auto-creates a ticket — resolving the real client contact even from forwarded or automated mail.

2

Ticket worked

Routed to the right client org. Live, DB-persisted timers track every billable minute as the tech works.

3

Time captured

Per-org rate overrides and configurable rounding turn raw timers into clean, billable line items.

4

Invoice out

Approved time and contracts feed straight into Xero monthly. No re-keying, no leakage.

03 / Why Opentra

Built around how MSP work actually moves.

01

Self-hosted & single-tenant

Your client data stays on your infrastructure. No multi-tenant SaaS risk, no per-seat cost creep as you grow.

02

Email-to-ticket intelligence

MS Graph ingestion auto-creates tickets and resolves the real client contact — even from forwarded or automated mail.

03

Time tracking that bills right

DB-persisted live timers, per-org rate overrides, configurable rounding — feeding straight into Xero each month.

04

Contracts → approval → invoice

Full lifecycle with token-based customer portals — clients approve and check status with no login required.

05

Project management included

Phases, tasks, dependencies, milestones, change requests, and quote→project conversion. Not a bolt-on.

06

MSP-native integrations

ScreenConnect, Level.io device/alert sync, HubSpot, Hudu — built around real MSP gotchas, not generic connectors.

07

Runbooks for repeatable work

Onboarding, offboarding and new-computer requests spin up a ticket with a pre-assigned, scheduled checklist from a reusable template. Fill one intake form, the tasks and due dates build themselves.

04 / AI

AI where it saves time. Not where it makes noise.

AI is embedded where the work already happens — inside tickets, replies and the daily queue. It cuts admin instead of adding another dashboard to check.

Built by an MSP — this one

I run Commit-IT, a small MSP, and I built Opentra because nothing on the market fit a shop our size. The enterprise PSAs punished us per seat, the all-in-ones wanted to sit on our clients’ data, and everything else left me as the integration layer, re-keying the same work three times before it ever hit an invoice. Opentra runs Commit-IT day-to-day now: every ticket, timer, contract and month-end invoice. You’re not the beta test, we are.

"We replaced HubSpot, three spreadsheets and a shared inbox with Opentra. Month-end billing went from two days of re-keying to an afternoon of review." — Myles, Commit-IT
05 / Ownership

Your clients. Your infrastructure. Your data.

Opentra is self-hosted and single-tenant. Client data stays on hardware you control — no multi-tenant SaaS risk, no vendor sitting on your book of business, no per-seat cost creep as you grow.

  • Deploy on your own VM or box, full database access
  • Flat pricing — add techs and clients without penalty
  • Export everything, anytime. No lock-in by design

07 / The RMM question

We don’t do RMM. That’s the point.

Every all-in-one platform makes the same trade: to own your monitoring and your service desk, they run both from their cloud — and sit on your entire book of business to do it. You get one login and one bill, and you hand over the keys. Opentra does one job and does it completely: the system your work runs on from first email to paid invoice. Your monitoring stays yours. Plug in the RMM you already trust — ScreenConnect and Level.io are live today, Huntress is on the way — and Opentra turns its alerts and devices into tickets, time and invoices without ever asking to become your whole stack.

Your RMM, your call

ScreenConnect and Level.io are live; bring any tool that can fire a webhook.

Alerts become billable work

Device alerts flow in as tickets — deduped, not an alert storm — so nothing you monitor goes un-invoiced.

No cloud landlord

We never hold your monitoring hostage to keep your business. Own your data; choose your tools.

FAQ

The questions every MSP asks first.

What happens if Opentra shuts down?

If you self-host, nothing stops — the software keeps running on your box and your data stays in your PostgreSQL database. Self-hosting is the continuity plan: no vendor can switch you off. Opentra Cloud customers get an export anytime.

Do I need an RMM as well?

Yes — and keep the one you trust. Opentra is PSA-only by design. Level.io and ScreenConnect are wired in today (Huntress is on the roadmap), and their alerts and devices flow in as tickets, time and invoices. We run your service desk and billing; your monitoring stays yours.

Who handles upgrades and backups?

On self-host (Community / Pro), you do — updates are container images you pull on your schedule, and you back up your own database. On Pro + Managed and Opentra Cloud, we handle upgrades, backups and disaster recovery for you.

How do I get my data out?

It’s your PostgreSQL database — query or dump it anytime with standard tooling. There’s no proprietary lock-in and no export fee. Owning your data is the whole point.

How long does it take to deploy?

Self-hosting is a docker compose up and an afternoon of configuration following the deploy guide. Managed and Cloud customers are live faster because we do the setup and migration with you.

What does support actually mean per tier?

Community is community support (docs + forum). Pro adds priority support. Pro + Managed and Opentra Cloud add a guaranteed-response SLA and, on Cloud, a 99.9% uptime SLA.

Does the flat price really not change as I hire?

Correct. Pro is $149/mo flat whether you run 3 techs or 15, across unlimited client orgs. You pay for the software, not per seat. Opentra Cloud is $249/mo flat on the same basis.
